Parent Chair Positions
Families who serve in one of the following Parent Chair positions fulfill their entire dual meet volunteer requirement for the season.
Grill Chair (2 volunteers)
The Grill Chairs oversee grill operations at all Bucs home swim meets. We're seeking two volunteers to share responsibilities in whatever way works best for them. For example, one may take the lead the first half of the meet, while the other leads the second half of the meet--or they may alternate meets throughout the season.
Responsibilities include:
- Lead and manage grill operations at all Bucs home meets
- Plan the grill menu for the season, keeping offerings simple, popular, and profitable
- Create and manage a shopping list for each home meet
- Coordinate parent volunteers to assist with:
- Purchasing food and supply items (shoppers workers)
- Grill setup and takedown (concessions workers)
- Operating the grill area during meets (concessions workers)
- Ensure food is prepared and served in a safe, organized and efficient manner
- The Grill Chair works closely with the Concessions team and Parent Board to ensure smooth operations throughout the season.
Meet Setup & Takedown Chairs (2 Volunteers)
The Bucs are seeking two volunteers to lead meet setup and takedown at all home swim meets. These volunteers will work together to share responsibilities in whatever way works best for them. For example, one may take the lead on setup, while the other leads takedown--or they may alternate meets throughout the season.
Responsibilities include:
- Lead the setup and takedown of scoreboard, lounge chairs, dining tables and chairs, stanchions, bleachers, bullpen area, sponsor banners before and after a home meet.
- Direct the 4-5 parent workers to assist before and after each home meet. (Bucs Coaches are also available to assist with meet takedown.)
- Ensure all equipment is properly placed secured and stored after the meet
- A documented Standard Operating Procedure (SOP) will be provided to guide all setup and takedown processes.
Time Drops & Broken Records Chair (1 Volunteer)
The Time Drops & Broken Records Chair oversees the implementation of the Bucs time drop incentive program and coordinates recognition of broken team records for the end-of-season celebration.
Responsibilities include:
- After each home or away meet:
- Print emailed labels for time drops
- Attach labels to stickers (for swimmers ages 12U)
- Prepare Buc Bucks (for swimmers ages 13+)
- Distribute to swimmer mailboxes
- Prepare broken records to be presented at the end-of-season celebration (crafting experience is a plus!)
- All supplies will be provided.
Parent Jobs Coordinator (1 Volunteer)
The Parent Jobs Coordinator oversees Bucs parent job check-in at meets to ensure all positions are properly staffed and running smoothly. This role serves as the primary point of contact for all parent jobs throughout the season.
Responsibilities include:
- Print and prepare adhesive name tags prior to each meet for distribution at job check-in
- Oversee Bucs job check-in at all home meets and away meets, as well as invitationals (as attended)
- Ensure all scheduled positions are filled by assigned workers, hired replacements, or as needed by floaters
- Contact workers (via text or phone call) who have not checked in by their scheduled time
- Ensure parent workers understand where to report, when to report and the basic responsibilities of their assigned role
- Serve as the team’s point of contact for parent job-related questions
- Document and report no-shows, issues and questions to the Bucs Parent Board
Raffle Coordinator (1 Volunteer)
The Raffle Coordinator oversees the planning, organization and execution of the Bucs raffle fundraiser. This role plays a key part in supporting team fundraising efforts.
Responsibilities include:
- Work closely with the Bucs Parent Board prior to and at the start of the season to coordinate and organize raffle items
- Create and manage a tracking spreadsheet for tracking raffle ticket sales
- Set up and manage raffle displays at four (4) home meets and at Music Bingo Night on June 27
- Sell raffle tickets at four (4) home meets (under the pavilion near concessions) and at Music Bingo Night on June 27
- Conduct the raffle drawing at Music Bingo Night
- Contact winners who are not present and coordinate prize pick-up or drop-off
Scoring Chair (2 Volunteers)
The Scoring Chair oversees meet scoring operations for all Bucs home swim meets and plays a critical role in ensuring accurate and timely results.
Responsibilities include:
- Complete required Naperville Swim Conference scoring training prior to the start of the season
- Oversee swimmer entries submitted by the coach and ensure proper meet seeding in the meet management software
- Enter disqualifications (DQ’s) into the system during the meet
- Monitor and verify the accuracy of times received from the Dolphin timing system
- Work closely with the Head Coach, timers, and meet officials to resolve scoring or timing questions
- Collaborate with other Bucs scoring volunteers to ensure smooth meet-day operations and share in the overall work
- This role requires strong attention to detail, comfort using computers and meet management software, and the ability to remain focused in a fast-paced environment.
Additional Volunteer Roles
The following roles qualify for dual meet job credit. Families who serve in one of these roles will receive a reduction in their required dual meet job commitments (5 regular jobs + 1 floater). Music Bingo Host (1 Volunteer / 3 Dual Meet Job Credits)
The Music Bingo Host plans, organizes and leads the Bucs Music Bingo fundaiser night, held on Saturday, June 27 from 6:00 - 9:00pm. This role is perfect for someone who enjoys music, entertaining and creating a fun, high-energy event.
Responsibilities include:
- Plan, organize and host the Music Bingo event
- Design, theme and structure multiple bingo rounds for approximately three (3) hours of gameplay
- Coordinate planned breaks for raffle ticket sales and the raffle drawing
- Create themed music playlists for each round
- Prepare and organize bingo cards for participants
- Emcee the event using the provided microphone system
- Work closely with the Raffle Coordinator and Bucs Parent Board to ensure a successful and engaging fundraiser event.
Classic Meet Job Coordinator (1 Volunteer / 2 Dual Meet Job Credits)
The Classic Meet Job Coordinator manages volunteer check-in and coordination for Brookdale Bucs families working the Classic Championship Meet (July 18). This role ensures all assigned Bucs volunteers report on time and are properly positioned for their job sessions.
- Receive the Brookdale envelope containing the list of Bucs workers, name badges/lanyards
- Stationed at the assigned Brookdale table to check in all Bucs workers.
- Ensure workers know when to report and when, as well as any required meeting times and their locations
- When worker sessions transition, ensure second session workers are in place
- Collect lanyards from workers at the end of their work sessions
- Return all lanyards in the Brookdale envelope to the Classic Meet Job Chair
